FAQs

FAQs

  • What does 'white label' mean and how does it work?

White label payroll means we provide comprehensive payroll services under your brand name, not ours. Your clients will receive all communications, reports, and documentation branded with your company logo and details. We operate completely behind the scenes, processing payrolls, handling compliance, and managing all technical aspects while you maintain full ownership of the client relationship. To your clients, it appears as though you're providing the payroll service directly, allowing you to expand your service offering without investing in additional infrastructure or specialised staff.

  • Who will manage the relationship between our client and our business?

You maintain complete control over all client relationships. We work exclusively with you, not directly with your clients. All client communication, queries, and service discussions go through your firm. This ensures continuity of your existing relationships and allows you to retain full control over service delivery and client satisfaction. We provide you with all the technical support and expertise you need to confidently manage these conversations.

If you’d like to explore client relationship management, we offer this as an additional service and can work as a ‘member of your team’ with email and telephone access, to represent your business when communicating with your clients.

  • Will our clients still see our branding?

Yes. All payroll reports, payslips, correspondence, and documentation will carry your company branding, logo, and contact details. Your clients will see no reference to our company - the service appears entirely as your own. This seamless branding integration helps strengthen your market position and reinforces your role as their trusted advisor for all accounting and payroll needs

  • How do you ensure capacity?

We maintain scalable infrastructure and dedicated team resources to handle varying workloads throughout the year. Our systems are designed to accommodate seasonal peaks, growing client bases, and urgent processing requirements. We also offer our Overflow Payroll service specifically for practices that need additional capacity during busy periods or unexpected workload increases. Our team planning ensures we're always prepared for peak processing times like month-end and year-end periods.

  • How will you protect our client’s data and keep it safe?

Data security is our top priority. We employ high-level security measures including:

End-to-end encryption for all data transmission

Secure, EU-based data centres with 24/7 monitoring

Regular security audits and compliance checks

    GDPR-compliant data handling procedures

    Multi-factor authentication and access controls

Regular data backups with disaster recovery protocols

Staff security training and confidentiality agreements

All client data remains under your ownership and control, with strict access limitations ensuring information is only available to authorised personnel involved in processing your payrolls.

  • Do we need to outsource all of our clients to you?

Not at all. Our service is designed to be flexible to your needs. You can choose to outsource:

Selected clients only - perhaps those with complex requirements or higher volumes

Specific types of payroll - such as pension auto-enrolment cases

Overflow work - using our capacity during peak periods while handling routine payrolls in-house

Your entire payroll portfolio - if you prefer to focus entirely on your core accounting services

This flexibility means you can test our service with a few clients initially, then expand the partnership as your confidence and needs grow. Many accountants start with our Overflow Payroll option before moving to full White Label Payroll services.
